If a candidate on one of your 1st4Sport courses (Foundation I, Level 2) runs out of time and has not been certificated on CRM (i.e. marked as Competent, pre-requisites met), then they won't be able to be certificated by 1st4Sport as normal, if the end date has passed by over:
1 Year - ECB Foundation I Coach
2 Years - Level 2 (CCC/YPA)
Only in cases where there are extenuating circumstances preventing the assessment of the candidate, you may submit a Special Consideration/Reasonable Adjustment form (attached).
Groundwork required on CRM before starting certification process:
It is the County Board's responsibility to ensure the candidate is marked as attended and competent on CRM prior to giving ECB the heads up to certify the candidate. Please only do this once they have been assessed, but before you ask us to send off the certification request to 1st4Sport.
· The participant on the course must be activated via the option along the bar at the top of the screen( as they automatically deactivate once the course has run over it's registration period).
To do so:
- Find the participant by locating your course on CRM - participants are in the lower right corner of the course overview page one CRM
- Click on the contact's name
- Select 'activate'
- Set the 'Status Reason' to 'Attended', like so:
- Mark the participant as 'Competent' (see: https://ecbcs.zendesk.com/hc/en-us/articles/360016932677-How-to-mark-someone-Competent-on-CRM)
- Remember to save!
In normal circumstances a certificate request is autogenerated once all pre-requisites are met- however, in this case, ECB are required to override the auto-check and manually request a certificate which we can do on receipt of the approved form. This is why it is imperative we are told once all pre-requisites are met, i.e valid First Aid, current ECB DBS and SYC in date & showing on CRM.
Special Consideration Process:
You must make a request for ‘Special Consideration’ directly to 1st4Sport, through the reasonable adjustment/special consideration form referenced above - The old 'Athena' system is no longer in use & has been replaced by this process.
The Learner Registration Number (or ULN) as mentioned on the form, is a number allocated to the learner that 1st4Sport have record of, if in doubt, contact 0113 290 7610 if you aren't aware/don't have access to the relevant portal.
Once completed, you must email this form to 1st4Sport at email@example.com (note, this is a separate email address to the usual firstname.lastname@example.org support address)
All requests are considered on a case-by-case basis as a general rule & time extensions vary.
Once 1st4Sport grant the extension to the registration period, a copy (received from 1st4sport), of the Special Consideration granted email must be forwarded to email@example.com
ECB will then process a manual certification file to be sent to 1st4Sport.
